4 features
For repair workshops that
quote, fix and bill
A repair or maintenance business runs on agreed prices, clear jobs and money collected. These features cover pricing the work before it starts, knowing who is on each job, keeping spare parts in stock and following up what customers still owe.
-
Price the repair before you start
Write up a quotation for the customer with the work and parts it covers, so the price is agreed and on record before a technician opens the job. See how to add a quotation.
-
Every job tied to a technician
Each job order shows which technician is working on it, so when a customer calls about their repair, the front desk can tell them who has it without going to the workshop to ask.
-
Spare parts drawn from stock job by job
Parts used on a job come out of your inventory, and alert quantities warn you before a part you fit often runs short, so jobs don't stall while you wait for spares.
-
Dues on finished repairs followed up
If a customer collects a repair and pays later, the amount stays on their customer ledger, so you can see every unpaid job in one place and chase it up.

Getting started 5 steps
How repair and
maintenance management
works in GPOS
Repair and maintenance management in GPOS takes five steps, from the first quotation to the final bill. Service requests, job orders, technicians, inventory and billing are all tracked in one system.
-
Set up users and parts
Add a user account for each technician and front-desk staff member, and add the parts you stock as products with categories, units and alert quantities.
-
Log the service request
Add the customer or pick an existing one, log their service request and give them a quotation for the work before any job starts.
-
Open the job order
Open a job order for the agreed work and track which technician is on it and which parts it takes from your inventory.
-
Bill and collect payment
When the job is done, create the invoice, choose the payment method and process payment, then check the customer ledger for anything still due.
-
Check stock and sales reports
Use the stock report to see which parts you have on hand, and the sales reports to follow what your repair work earns, synced across devices in real time.

What is GPOS repair and maintenance management?
It is the part of GPOS that runs repair and service jobs from the first request to the final payment. Staff log the request, quote the customer, open a job card for a technician, take spare parts from stock and invoice the finished job, and any unpaid amount stays in the customer ledger.
Can I see which technician is working on each job?
Yes. Every job card is assigned to a technician, so you can see who has which job and where it stands. Spare parts used on a job are drawn from inventory against its job card, and low-stock alerts tell you when a common part is running out.
Does GPOS handle warranty repairs and claims?
GPOS records the serial or IMEI number of every unit you sell, and looking up a serial, an invoice or the customer's phone number shows the warranty. Claims come with checklists and service job cards, and parts that have to go back to the supplier are handled through supplier RMA.
How do I keep track of unpaid repair bills?
Each finished job is invoiced to the customer, and anything left unpaid stays in that customer's ledger. You can see what every customer owes at a glance and follow up before a balance grows, while the job's invoice and the parts it used stay on record.
