🛠️ Why Warranty Management is Important

To build customer trust and satisfaction
📋 Steps to Manage Warranty in GPOS
✅ Step 1: Go to Warranty Management
Log in to your GPOS dashboard.
From the side menu, navigate to “Inventory” or “Product Management”.
Click on “Warranty Management”.
✅ Step 2: Add a New Warranty
Click on the “Add New Warranty” button.
Fill in the following details:
Warranty ID – Auto-generated or enter manually
Name – e.g., “1 Year Warranty”
Duration – Specify in days, months, or years
Description – Enter details like coverage terms, parts included/excluded
Click “Save” to create the warranty entry.
✅ Step 3: Assign Warranty to Products
Open the Product Master from inventory.
Select the product you want to link with a warranty.
Choose the relevant Warranty ID from the dropdown list.
Save the product details.
✅ Step 4: View and Manage Warranty Records
You can view all warranties in a table format:
| Warranty ID | Name | Duration | Description | Action |
|---|---|---|---|---|
| W001 | 1 Year Warranty | 12 Months | Covers manufacturing defects only | Edit/Delete |
| W002 | 6 Months Warranty | 180 Days | Covers repair & replacement | Edit/Delete |
Use the Edit option to update any warranty details.
Use the Delete option if the warranty is no longer applicable.
✅ Step 5: Warranty Tracking During Sales
When you create an invoice, if the product has a warranty linked, GPOS will automatically assign it to the sale.
The warranty details will be printed on the customer’s invoice.
You can later track claims using the warranty reference.
🔐 Important Notes
Only authorized users can create or edit warranty policies.
Once a warranty is assigned to a sold product, it cannot be deleted — only updated.
🎯 Tips
Create warranties in advance for different product categories (e.g., electronics, furniture, appliances).
Use clear descriptions so customers understand what is covered.
Regularly review expired warranties and update them if needed.
By following these steps, you can efficiently manage product warranties in GPOS — ensuring smooth after-sales service, accurate tracking, and enhanced customer trust.
