How to Delete a Product in GPOS
This tutorial will guide you through the step-by-step process of deleting a product from GPOS.
⚠ Important: Before you can delete a product, you must first delete all related transactions (such as purchase entries, sales invoices, stock transfers, or adjustments) linked to that product.
🛠️ Why You Might Need to Delete a Product
-
The product is no longer available for sale
-
Duplicate product entries in the system
-
Wrong product information was entered during creation
-
The product is discontinued or replaced with another SKU
📋 Steps to Delete a Product in GPOS
✅ Step 1: Check and Remove Related Transactions
-
Log in to your GPOS dashboard.
-
Search for all transactions linked to the product (Sales, Purchases, Stock Adjustments, Transfers, etc.).
-
Delete these transactions one by one — the product cannot be deleted until all related records are removed.
✅ Step 2: Go to the Product List
-
From the side menu, navigate to the “Inventory” module.
-
Click “Product List” to view all products.
✅ Step 3: Search for the Product
-
Use the search bar to find the product by Product Name or Product Code.
-
Confirm that this is the correct product you want to delete.
✅ Step 4: Open Product Details
-
Click on the product “Action” to view its details (such as Product Name, Code, Unit, Category, Brand, etc.).
-
Double-check that no stock remains for this product. If there is stock, adjust it to zero before deleting.
✅ Step 5: Delete the Product
-
Click the “Delete” button.
-
Confirm the deletion when prompted — remember, this action is permanent.
🔐 Important Notes
-
Deleting a product is irreversible — once deleted, it cannot be recovered.
-
If the product is linked to any transaction, GPOS will not allow deletion until those transactions are removed.
-
Always double-check product details before deleting to avoid mistakes.
🎯 Tips
-
For outdated products, consider marking them as inactive instead of deleting, so past transaction records remain intact.
-
Use the Alert Quantity feature before deletion to ensure no hidden stock exists.
-
If the product has variants or is part of a bundle, delete those first.
By following these steps, you can safely delete a product from GPOS while ensuring your sales and inventory data remain accurate.
