How to View and Manage Expired Products in GPOS

This tutorial will guide you through the process of checking, tracking, and managing expired products in GPOS.


🛠️ Why You Need to Track Expired Products

  • To ensure expired products are not sold to customers

  • To maintain product quality and brand reputation

  • To comply with health and safety regulations

  • To manage stock rotation effectively (FIFO / FEFO)


📋 Steps to View Expired Products in GPOS

✅ Step 1: Go to the Expired Products Screen

  1. Log in to your GPOS dashboard.

  2. From the side menu, navigate to “Inventory”.

  3. Click on “Expired Products” to open the list.


✅ Step 2: Search and Filter Products

  1. Use the search bar to find products by name, batch number, or supplier.

  2. Use filters to narrow results by stock location, expiry date, or supplier.

  3. You can also adjust the “Show Entries” dropdown to view 10, 25, 50, or 100 products at once.


✅ Step 3: Review Product Details

In the expired products table, you can view:

  • Product Name – The expired item’s name

  • Stock Location – Where the product is stored

  • Stock In By – The staff who entered the stock

  • Supplier – The supplier of the product

  • Unit Cost (Exc. Tax) – Purchase cost without tax

  • Left Qty – Quantity remaining in stock

  • Batch No – Batch number for tracking

  • Expired Date – Date the product expired


✅ Step 4: Take Action on Expired Products

  • Remove from Shelf – Physically remove expired products from sales area

  • Stock Adjustment – Use GPOS stock adjustment to record the removal

  • Return to Supplier – If your supplier allows returns for expired goods

  • Waste Recording – Mark as wastage for reporting and accounting


✅ Step 5: Save or Export the List

  1. Click Export to download the expired products list in Excel or PDF.

  2. Save it for auditing, reporting, or supplier claims.


🔐 Important Notes

  • Only authorized inventory managers can edit or delete expired stock records.

  • Expired products remain in the system until adjusted or removed.


🎯 Tips

  • Set up expiry alerts in GPOS to get notified before products expire.

  • Regularly check your expired products list to avoid losses.

  • Implement FIFO (First In, First Out) or FEFO (First Expiry, First Out) to minimize expired stock.
